Definition

What is an HR system?

An HR system brings the entire employee lifecycle into one database: the personal file and contract, attendance and time, leave and requests, salary and entitlements, performance, and end of service. Instead of that data living across spreadsheets, WhatsApp groups and paper files, it is entered once and moves between modules on its own.

The practical difference is that the modules are wired together: attendance hours become overtime pay and late deductions inside payroll with no re-entry, leave balances drop the moment a request is approved, and end-of-service is computed from the join date and the recorded salary. That wiring is what separates an HR system from a standalone attendance or payroll tool.

Compliance here is the foundation, not an add-on. Barez is built on Saudi Labor Law from the first line: it calculates GOSI contributions, produces the wage protection file in Mudad format, applies the law to leave, penalties and end of service, and warns you before Iqamas and contracts expire.

HRMS
Human Resources Management System — the umbrella for the whole stack: files, attendance, payroll, leave and reporting.
Employee self-service (ESS)
The employee's portal on their phone: submit requests, follow their salary and leave balance, and see where every request stands.
Applicant tracking (ATS)
The hiring engine: it reads the CV, scores each applicant against the ad, and ranks candidates — then moves them through your stages to the hire.
Payroll run
The monthly salary sheet with every line — base, allowances, deductions, advances — before approval and disbursement.

Recruitment from posting to hire

You publish the posting with a public apply link, and the engine reads every CV and matches it against the ad: a score out of 100 per applicant, the matched and missing skills in front of you, and a ranking ready from the top. From there you move candidates through your own stages — screening, interview, scorecard — to the offer and contract, then into your employee records in one click.

  • Match score out of 100: skills 60%, job title 20%, years of experience 15%, soft skills 5%
  • A 1,217-skill dictionary with synonyms — matches an Arabic CV to an English ad and vice versa
  • Reads CVs from PDF and Word, and extracts the title and years of experience on its own
  • Knockout screening questions filter out unqualified applicants before they reach you
  • Stages you define per job, plus an interview scorecard
  • Verified offers & contracts (fixed/indefinite, Art. 37 for non-Saudis, Art. 55)

Buyer's guide

How to choose an HR system for a Saudi company

Seven questions that filter the options before you commit to a year.

  1. 1

Does it calculate compliance, or just record it?

Ask for a live demo: have them enter an employee in front of you, calculate the end-of-service, and produce the wage protection file. Plenty of systems store the data and leave the maths to you.

  2. 2

    Does attendance reach payroll automatically?

If you move late hours and overtime by hand every month, you have two systems, not one.

  3. 3

How do field employees check in?

Branch and site staff need to check in from their phone, by location or by face. One reader in the office does not serve them.

  4. 4

Is the Arabic native or translated?

Open the system in Arabic before you subscribe. Literal translation breaks page direction, dates and legal terminology.

  5. 5

How granular are permissions and isolation?

Every role, department and branch sees only its own scope. And with more than one company, each one's data is isolated from the rest.

  6. 6

    Is pricing transparent?

One price per employee per month. No setup fees, and no surcharge each time you open a new module.

  7. 7

    How long is real go-live?

Ask specifically about the first payroll: how many days from uploading employees to approving the first run?

FAQ

Frequently asked questions about HR systems

What is an HR system (HRMS)?

+

Software that brings the whole employee lifecycle into one system: employee files and contracts, attendance, leave and requests, payroll and entitlements, hiring, performance and end of service — with reporting on top. The modules are wired together, so attendance data reaches payroll on its own with no re-entry.

What is the difference between an HR system and personnel software?

+

Personnel software is mostly a record of files and data. An HR system adds the operations layer on top: attendance, payroll and entitlement calculation, approval routing, employee self-service, and decision reporting. In practice the first stores, the second executes.

Is Barez compliant with Saudi Labor Law?

+

Yes. Barez is built on Saudi Labor Law and its executive regulations: end-of-service benefit, GOSI contributions, leave balances, the penalty schedule and overtime hours — applied as written.

Does it integrate with GOSI and Mudad?

+

Yes. GOSI contributions are calculated inside the payroll run with the correct Saudi/non-Saudi split, and the wage protection file is produced in Mudad format once payroll is approved.

How does the system calculate end-of-service?

+

From the join date, the termination date and its reason, and the recorded salary, per Saudi Labor Law. You can try it before subscribing with the free end-of-service calculator on this site.

How do employees check in? Does it work off-site?

+

Three independent methods: geo check-in from multiple approved locations, face verification, or fingerprint devices. Field staff check in from their phone within their site's radius, and the system computes lateness, early leave and overtime automatically.

How much does Barez cost?

+

Per employee per month: 12 SAR on Basic, and 18 SAR on Business with multi-currency payroll, recruitment and biometric verification. You pay only for active employees, and annual billing gives you two months free.

Is there a free trial?

+

Yes — 14 days free for up to 30 employees, no credit card. You can also walk the real product screens in the interactive tour without signing up.

How long until the first payroll run?

+

Three steps: create your account, upload your employees, run the system. Small and mid-sized companies typically reach their first payroll within days, because employees are uploaded in bulk and the Saudi settings ship configured.

Does it support multiple companies, branches and currencies?

+

Yes. Run more than one company and branch with full data isolation between them and granular permissions per role, department and branch. Payroll supports four currencies — SAR, USD, EGP and EUR — for teams inside and outside the Kingdom.

Is the interface fully Arabic?

+

Yes — a native right-to-left Arabic interface that switches fully to English in one tap. Plus dark mode, and it installs on a phone as an app with no app-store download.

Where is our data stored, and is it isolated?

+

Each company's and branch's data is fully isolated from every other, and access is governed by granular per-user permissions. Traffic is encrypted, and backups are taken daily to more than one destination.
